Important: Data deletion is permanent and cannot be undone. Please ensure you have backed up any important information before proceeding with a deletion request.

What Data Can Be Deleted

When you request data deletion, we will remove the following information:

Account Information

  • Personal details (name, email, phone number)
  • Company and professional information
  • Account preferences and settings
  • Login credentials and authentication data

Usage Data

  • Policy records and documents you've uploaded
  • Claims data and related communications
  • Endorsement requests and modifications
  • Generated quotations and calculations
  • Activity logs and usage analytics

Communication Records

  • Email communications with our support team
  • Chat logs and support tickets
  • Feedback and survey responses

Data That May Be Retained

Certain information may be retained for legal, regulatory, or legitimate business purposes:

Legal Requirements

  • Financial records required for tax and accounting purposes
  • Transaction logs mandated by financial regulations
  • Data subject to legal holds or ongoing investigations

Security and Fraud Prevention

  • Anonymized security logs to protect our systems
  • Fraud prevention data (anonymized and aggregated)
  • Backup systems (automatically purged within 90 days)

Aggregated Analytics

  • Anonymized usage statistics that cannot identify you
  • Performance metrics and system optimization data

How to Request Data Deletion

You can request deletion of your data through several methods:

Method 1: Account Settings

  1. Log into your AetherLabs Flow account
  2. Navigate to Account Settings → Privacy & Data
  3. Click "Delete My Account and Data"
  4. Follow the confirmation process

Method 2: Email Request

  1. Send an email to privacy@aetherlabs.com
  2. Include "Data Deletion Request" in the subject line
  3. Provide your account email and full name
  4. Specify the type of deletion you're requesting

Method 3: Support Ticket

  1. Contact our support team through the help center
  2. Select "Privacy and Data Protection" as the category
  3. Submit a detailed deletion request

Verification Process

To protect your privacy and prevent unauthorized deletions, we require identity verification:

  • Confirmation from your registered email address
  • Answer to security questions (if applicable)
  • Additional verification for high-value accounts

Deletion Timeline

Our data deletion process follows this timeline:

Immediate Actions (Within 24 hours)

  • Account access is suspended
  • Active sessions are terminated
  • Account marked for deletion

Primary Deletion (Within 30 days)

  • Personal data removed from active systems
  • Account and profile information deleted
  • User-generated content removed

Complete Purge (Within 90 days)

  • Data removed from backup systems
  • Log files purged (except legally required)
  • Final confirmation sent to your email

Grace Period: We provide a 7-day grace period after account deletion requests. During this time, you can contact us to cancel the deletion and restore your account.

Impact of Data Deletion

Service Access

  • Immediate loss of access to all AetherLabs Flow tools
  • Inability to recover deleted policies and documents
  • Loss of historical data and analytics

Third-Party Integrations

  • Google Sheets integrations will be disconnected
  • Email automation will cease
  • Cloud storage links will be broken

Business Continuity

  • Ongoing claims processes may be affected
  • Historical records for audits will be unavailable
  • Team access to shared data will be lost

Alternatives to Full Deletion

Consider these alternatives if you're unsure about permanent deletion:

Account Deactivation

Temporarily disable your account while preserving your data for future reactivation.

Data Export

Download a copy of your data before deletion to maintain your own records.

Selective Deletion

Request deletion of specific data categories while maintaining your account.

Data Portability

Before deletion, you can request a copy of your data in a portable format:

  • Policy records in CSV or JSON format
  • Document files in their original formats
  • Account information and settings
  • Communication history
